CT Networks (“CTN,” “we,” “us,” or “our”) is committed to protecting your privacy and handling your personal information with transparency and respect. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you engage with CTN — including when you visit our websites, attend our events, or participate in programs and initiatives that connect individuals, employers, and partners within our ecosystem.
CTN acts both as a data controller, when we determine how and why your data is used (for example, event registrations, form submissions, communications, and memberships), and as a data processor (or service provider), when we process personal data on behalf of partner organizations using our tools or services (such as community engagement or recruitment forms). This Policy applies to all personal data processed by CTN and its affiliates, whether collected online, through mobile applications, at events, or via partner organizations.
1. Information We Collect and How We Collect It
We collect both information you provide directly and information collected automatically or from third parties.
- Account and Registration Information: When you sign up for CTN programs, events, or memberships, we may collect your name, email address, phone number, organization, job title, and demographic details voluntarily provided to improve inclusivity reporting.
- Forms and Applications: When you complete forms (e.g., partnership interest, speaker applications, volunteer registration), we collect the responses you submit.
- Payment Data: When purchasing tickets or paid services, payment processing is handled by secure third-party providers; CTN does not store credit card details.
- Communications: When you contact CTN or subscribe to updates, we may collect your correspondence and preferences to respond effectively.
Information Collected Automatically
- Usage Data: We collect information about your interaction with our digital properties, including IP address, browser type, session duration, device identifiers, referral links, and on-site activity.
- Cookies and Analytics: We use cookies and similar technologies to maintain secure sessions, remember preferences, and analyze usage patterns.
- Event and Access Logs: When accessing certain digital features (e.g., portals, dashboards, or virtual sessions), logs may record activity for performance and security purposes.
Information from Third Parties
We may receive information from partner organizations hosting or co-sponsoring programs, publicly available professional sources (e.g., LinkedIn, company websites), and analytics, marketing, or communication service providers that assist us in understanding engagement.
2. How We Use Your Information
We use your personal data for purposes consistent with CTN’s mission and operations, including to:
- Provide Services and Programs: Facilitate event registration, ticketing, memberships, communications, and community engagement.
- Communicate With You: Send confirmations, updates, and personalized messages about relevant opportunities, programs, and resources.
- Improve Experiences: Analyze interactions to enhance user experience, product performance, and accessibility.
- Ensure Security and Compliance: Detect and prevent fraud, maintain system integrity, and comply with legal or regulatory requirements.
- Marketing and Outreach: Share updates about CTN initiatives, success stories, and partner events (you may opt out anytime).
- Research and Impact Reporting: Conduct aggregated analyses to measure participation and program effectiveness, ensuring individual identities remain confidential.
We only use personal information for the purposes for which it was collected, unless we obtain your consent or are legally required to use it otherwise.
3. How We Share Information
We limit disclosure of your information and only share it where necessary:
- Service Providers: We engage trusted vendors to host data, process payments, send communications, and provide analytics. These providers are bound by contractual confidentiality obligations.
- Partner Organizations: For co-branded or collaborative programs, your registration data may be shared with named partners to facilitate participation.
- Compliance and Legal Requests: We may disclose information if required by law, regulation, subpoena, or to protect the rights, property, or safety of CTN or others.
- Business Transfers: In the event of a merger, acquisition, or reorganization, data may be transferred under comparable privacy safeguards.
CTN never sells personal data. We only share it in alignment with our mission and legitimate operational needs.
4. International Data Transfers
CTN operates primarily in Canada but may store or process information in jurisdictions where our service providers are located. When we transfer data across borders, we apply safeguards consistent with PIPEDA, GDPR, and other applicable laws, including standard contractual clauses and equivalent protective measures.
5. Data Retention and Security
Retention: We keep data only as long as necessary for the purposes described in this Policy, or as required by law or contractual obligations. When no longer needed, data is securely deleted or anonymized.
Security: We use appropriate administrative, physical, and technical safeguards — such as encryption, secure servers, and limited access protocols — to protect against unauthorized access, disclosure, or loss. Despite these measures, no system can be entirely secure, and we cannot guarantee absolute protection.
6. Cookies and Similar Technologies
We use cookies and similar technologies for session management and security, measuring traffic and engagement metrics, and customizing user experiences. You can adjust cookie preferences through your browser or our cookie management tools, where available. Disabling cookies may affect some features.
7. Your Rights and Choices
